1. Introduction
Ockham Labs Inc. ("Company", "we", "us", or "our") operates AsimovBox, an AI-powered video studio for generating long-form explainer videos. This Privacy Policy explains how we collect, use, store, and protect your information.
2. Information We Collect
2.1 Account Information
- Name and email address (via Google or LinkedIn OAuth)
- Profile picture (if provided by your OAuth provider)
2.2 Content You Create
- Prompts, inputs, outputs, revisions, and conversation history for AI agents and deliverable workflows
- Decks, documents, infographics, worksheets, document reviews, and related artifacts you create
- Files, text, links, transcripts, and extracted content you upload or save to Knowledge Base
- Brand templates, source uploads, annotations, comments, ratings, and support requests
- Temporary/private-mode extracted text when you explicitly send it for processing
2.3 Billing Information
- Plan, prepaid credit balance, reservations, deductions, and transaction history
- We do not store credit card numbers; payment processing is handled by Stripe
2.4 Usage Data
- Device/browser information, IP address
- Feature usage, provider/model usage events, credit charges, errors, security events, and rate-limit events
3. How We Use Your Information
- Provide, secure, troubleshoot, and improve AsimovBox features
- Process billing transactions, enforce prepaid balances, and prevent cost abuse
- Send service-related notifications
- Detect and prevent abuse, fraud, unauthorized access, and policy violations
- Provide customer support and investigate product issues when you request help
4. Storage and Processing Locations
AsimovBox stores application data in our production database, object storage, and application infrastructure. Files and generated artifacts may be stored in S3-compatible object storage under user- and tenant-scoped paths. Application data may be processed in Canada, the United States, or other regions used by our infrastructure and service providers.
Some features have special storage behavior:
- Knowledge Base: files you save are stored, extracted, indexed, and made available for retrieval and chat.
- Private File Mode: supported files are extracted in your browser where possible; AsimovBox receives only the extracted or selected text you submit, not the original file.
- Source Prep Labs: redaction and extraction previews are not saved to AsimovBox unless you explicitly download or save the redacted/extracted output to Knowledge Base. Temporary processor files may be used only to complete the requested operation and are deleted after completion, with lifecycle cleanup as a backup.
- Training-ready traces: when enabled and explicitly opted in for a deliverable, AsimovBox may capture prompts, revisions, annotations, quality labels, and final approval metadata for that deliverable. Export/licensing eligibility requires your explicit final approval and redaction processing.
5. Third-Party Services
Your content may be processed by the following third-party services to deliver our features:
- Google Gemini / Google Cloud AI: AI-powered content and presentation generation
- Amazon Web Services (Bedrock, S3-compatible storage): AI model inference and file/artifact storage
- Anthropic (Claude): AI agent execution via AWS Bedrock
- Daytona: Sandboxed compute environments for agent runs
- Microsoft Azure: Application hosting, database, document processing, redaction, and related infrastructure
- Stripe: Payment processing
- ZeptoMail: Transactional email delivery
Each provider operates under its own privacy policy. We do not use your content to train third-party AI models by default. If you explicitly opt into training-ready or monetizable traces, only the opted-in deliverable trace is handled under that consent flow.
6. Data Sharing
We do not sell your personal information. We may share data with service providers who help operate AsimovBox, when needed to complete a feature you requested, to comply with law, to protect AsimovBox and users, or with your explicit consent.
7. Data Security
We use safeguards such as TLS, access controls, row-level security patterns, tenant/user scoping, secret management, rate limits for costly operations, security headers, and provider-side encryption where supported. Administrative access is limited to authorized operational and support purposes. No system is perfectly secure, and AsimovBox remains a beta product, so avoid uploading material you are not authorized to process or that requires controls we have not explicitly agreed to provide.
8. Data Retention
We retain your account data and saved content while your account is active, unless deleted earlier by you or by us under our operational policies. Temporary files, private-mode previews, and redaction/transcript previews are intended to be short-lived unless you explicitly save the output. Billing, security, audit, and provider usage logs may be retained for legal, tax, abuse-prevention, and operational purposes.
9. Your Rights
You may request access to, correction of, or deletion of your personal data by emailing us. Response times may be longer during the beta period.
10. Children's Privacy
AsimovBox is not intended for users under 16. We do not knowingly collect information from children.
11. Changes
We may update this policy at any time. Material changes will be communicated through the application.
12. Governing Law
This policy is governed by the laws of the Province of Ontario and the federal laws of Canada.
